Minutes of the Vestry
April 14, 2014
A regular meeting of the Vestry of St. Andrew’s Church was called to order by Father Chandy at 7:35 p.m. following prayer led by Father Chandy.
Present: Father Chandy, Warden: Patricia Jackson, Warden: Christopher Miller
Vestrypersons: Keith Adams, 1st term/2015, Marianne Pace-Sanchez, 1st term/2016, John Smythe, 1st term/2016, James Miller, 1st term/2016, Frank Marchese, 1st term/2017, Earl Fairhurst, 1st term/2017.
Absent: Beth Parker, 1st term/2015, Bob Fisher, 1st term/2015 and Richard Murphy, 1st term/2017
Church Treasurer: John Powell and Parish Administrator: Kris Carroll
Minutes: The Minutes of the regular Vestry meeting held on March 10 were sent electronically on April 3. Keith Adams motioned to approve the Minutes with the corrections to Father Chandy is a signer on the Memorial Account and John Powell is a member of the Finance Committee, seconded by Frank Marchese. Motion carried all approved
Finance/Treasurer’s Report: Pledges are $5000 dollars behind. Bills paid reflect installment payments that need to be paid early in the year. Recommendations from Starlite (sound system company) was to install a single ground line, Nicodemus Electric performed the work. They also replaced the Exit signs. Today Root 24, Inc was called due to blockage in the lines. If this problem persists Root 24, Inc has recommended we need to snake a camera through the lines to identify the problem.
John explained that 5035 the Rector’s cell phone is a month behind and that they have changed plans decreasing the bill in future months by $25.00. The monthly bill was $177.03. John also explained 7000 Outside Services this is payment for St. Andrew’s book keeper. We still owe her for last quarter of 2013. The Utilities at the Graveyard have seen a savings since the change. Keith Adams motioned to approve the Treasurer’s Report, seconded by Chris Miller. Motion carried all approved.
Men’s Fellowship: Bathroomproject is in its 5th week Frank Marchese described the delays: plumber was needed to install floor flanges and new shut-off values for 3 toilets. The plumber also had to break up the concrete from the old sink and install proper shut-off valves. Both bathroom floors needed to be replaced, Ararat Flooring completed the job. The Men’s Club is meeting at St. Andrew’s this Saturday at 7:30am for their meeting. The job hopes to be complete this Saturday, April 19th. Frank made a motion to add $250 to his budget, seconded by Keith Adams. Motion carried all approved.
Warden’s Report: Pat Jackson motioned that the Garden Committee (Polly Horvath) can remove 3 Arbor trees and replace them with rose bushes, seconded by Marianne Pace Sanchez. Keith amended the motion to allow the Garden Committee to remove whatever they want for beautification of the gardens. Motion carried all approved.
Historic Documents: Pat Jackson discussed that Sharon Carr and Eleanor Dunker have volunteered to preserve the documents in the vault which in downstairs in the classroom used by Journey and Al-Anon. The plan would move the documents upstairs to the old counting room. This room would need to have a new lock put on the door and air conditioning unit put in to regulate temp. in the room. Pat is going to contact an Archivist from the Library and Father Chandy is going to contact the Diocese Archivist.
Carpet for the Nursery: If weather permits this will be picked up from Home Depot this Saturday, April 19th. Along with 3 new garbage cans to better control the trash collection.
Future Vision Committee: Group 1 (Pat Jackson’s team – Frank Marchese, Earl Fairhurst, Rich Murphy, John Smythe and Beth Parker ) are in charge of inspecting areas of repair. Group 2 (Chris Miller’s Group the Falcons – Buddy Miller, Keith Adams and Marianne Pace Sanchez) are in charge of imaging future use of the building for ministry. Each group will function independently and report at the July vestry meeting.
Rector’s Report: Father Chandy explained the job of the discernment committee for Shelton Radix. Sue Espenshade heads this committee. Father explained that the discernment committee will submit Shelton Radix to the vestry and the vestry will then recommend Shelton Radix to the Diocese. Shelton will provide the vestry with a bio at the May Vestry meeting. Sue Espenshade will also be invited to the May meeting to discuss her committee.
Old Business: VMA Proposal (attached). After much review and concerns it was decided that the vestry would block out the dates for the 2 week VMA camp (July 28 – August 8). Pat Jackson, Chris Miller and Father Chandy would meet with Victoria and Jeff Espenshade to go over the Vestry’s concerns since the program is growing. An emergency vestry meeting will be scheduled in 2 weeks for VMA to answer any questions and concerns the vestry has.
New Business: Ministry to Imprisoned they meet every 2 months next meeting June 19th– Pat discussed what this ministry does and asked for information to be put in the bulletin to look for volunteers.
Frank Marchese asked if the Men’s Fellowship could look into Great Lake Shop with Script in which the Church would benefit from parishioners purchasing pre-paid vouchers for Shop Rite, Acme, Bed Bath and Beyond, etc. Keith Adams mentioned this would have to be approved by the Finance Committee.
The meeting ended with an open meditation on poverty.
James Miller motioned to adjourn the meeting, seconded by John Smythe. Motion carried. Father Chandy closed with prayer and the meeting was adjourned at 9:10 p.m.
