March 10, 2014

A regular meeting of the Vestry of St. Andrew’s Church was called to order by Father Chandy at 7:55p.m. Following Keeping the Poor with us topic one and prayer led by Father Chandy.

Vestrypersons:   Keith Adams, 1st term/2015, Robert Fisher, 1st term/2015, Beth Parker, 1st term/2015, Marianne Pace-Sanchez, 1st term/2016,  James Miller, 1st term/2016, Frank Marchese, 1st term/2017, Richard Murphy, 1st term/2016, Earl Fairhurst, 1st term/2016.

Minutes:  The Minutes of the regular Vestry meeting held on February 10, 2014 were sent electronically on March 6, 2014.  Chris Miller motioned to approve the Minutes as long as we amend the executive session to only state time, seconded by Marianne Pace Sanchez.  The motion carried.


Finance/Treasurer’s Report:  Pledge collection is running behind by $6,404 and Utilities are over budget by $2959.88 due to heating costs for this cold winter.  Keith Adams motioned to accept the Treasurer’s Report, seconded by James Miller.  Motion carried.  (A copy of the report is attached to the original Minutes.)

John Powell requested that the vestry consider allowing ADEPT to use 2 parking spaces in the back of the church for a donation of $500. Buddy Miller motioned to accept ADEPT using the Parking Spaces, seconded by Chris Miller.  Motion carried.


John Parkhurst removed the brackets from the old speakers in the church and filled the holes at no cost to the Church.   A thank you note will be sent out to John.


The final payment to Starlite for $4,981 is being held until they come back and attach the microphone.


March 10, 2014 Problem with the toilets upstairs and down stairs, when an upstairs toilet was flushed it flooded the downstairs bathrooms.  Roter 24 came out and they had to snake 180 feet out to the road to clear the lines for the toilets.


Mason Trust Scholarship– john Powell discussed how this trust was now divided up between various group and that the Church and ECW each received $3200.  John also mentioned that it would benefit for the Church and ECW to combine the scholarship in to one with a 5% scholarship each year.   The Vestry decided to allow the finance committee to come up with the terms of the scholarship.


 Warden’s Report – Signatures to Accounts:

Church General Account – Rev. Sunil Chandy, John Powell, Pat Jackson and Chris Miller

Payroll Account – Rev. Sunil Chandy, John Powell, Pat Jackson and Chris Miller

Glen Meade Account – approve The Rev. Sunil and Charles S. Miller to instruct Glenmede to transfer money to the St Andrew’s Securities Checking Account (only)

Securities Account – John Powell, Patricia Jackson and Christopher Miller

Memorial Account –The Rev. Sunil Chandy, John Powell will remain and John Smythe will replace Mark Miller in April.   Frank Marchese motioned to update the memorial account signers in April, seconded by James Miller.  Motion carried.


James Miller motioned to approve all signatures, seconded by Keith Adams. Pat Jackson and Chris Miller abstained.


Housing Resolution:  Chris Miller motioned to accept a resolution (see attached) regarding a 2014 Housing Allowance for The Rev. Kuruvilla Chandy, seconded by Keith Adams.  Motion passed

Finance Committee/ Chair: Finance Committee Charles Miller, Cliff Sporn, Pat Jackson, Chris Miller, John Powell and Walt Tafe.  There was question over a non vestry person serving as Finance Chair but the revised 2007 by-laws state that a non vestry member can serve.  Kris Carroll, Parish Administrator will make sure all vestry members have the amended 2007 By-laws.   Patricia Jackson, motioned to accept the members of the Finance Committee, seconded by Richard Murphy. Motion carried. James Miller, motioned for Charles Miller to serve as Finance Chair, seconded by Richard Murphy.  Motion carried.

Personnel Committee: Chris Miller motioned to approve the Personnel Committee – Pat Jackson, Keith Adams, Marianne Pace Sanchez, Earl Fairhurst, Cyndie Regn and Susan Ryan, seconded by James Miller.  Motion carried.

Vestry Members toured the facilities prior to the meeting.  Pat Jackson listed things that need to be repaired, all windows need to be replaced, ceiling tiles and floor tiles need to be replaced, check to see the extend of the water damage.  A suggestion to have a professional inspection done.

Rector’s Report – The Parochial Report was sent electronically on March 6, 2014.  The Report has already been submitted to the Diocese on Feb 28, 2014.  It was decided that the Parochial Report needs to be on the February Agenda for approval.   Keith Adams motioned to approve the Parochial, seconded by James Miller.  The motion carried.


Vestry Retreat:  Father Chandy shared information compiled from the Vestry retreat and then asked what we do with all of our information.  It was decided that 2 groups would look at Church.  Group 1 would do an inspection of the areas that need to be repaired and Group 2 would look at where ministry can go.  Patricia Jackson would be in charge of Group 1 and Chris Miller would be in charge of Group 2.


Deacon’s Report:  Carl mentioned the loss of Diane Jacobs as a Deacon Candidate.  He also stated that he would be getting a Bible Study together soon.


Old Business: Replace carpets in the downstairs class rooms that were destroyed due to flooding.  Patricia Jackson would like to purchase remnants 8 x 10 ($70) or 12 x 17 ($90) for the nursery and EYC and Journey classroom.  Pat has a truck available to pick them up Wednesday morning .  James Miller made a motion that a Carpet purchase could be made at Home Depot but not to exceed $250.00 dollars, seconded by Frank Marchese. Motion carried.


Question on who was in charge of the Cover Dish Supper?  Answer Father Chandy.  Father Chandy explained that March 12 would be a pot luck supper and then March 19 Victor Scott would cook a pasta dinner for the congregation.  Help would be needed for set-up and clean-up.


James Miller discussed the breakdown of Invite a Friend Sunday.  Phone Calls, Publicity and Event Day Activities after some discussion it was decided to postpone Invite a Friend Sunday due to on Palm Sunday service begins outside and then after the service there is an Easter Egg Hunt not giving time to welcome or interact with newcomers.  The new date for Invite a Friend Sunday is June 8, 2014.


New Business:  Concern with the Easter Egg Hunt being at the Cemetery.  It was decided that Beth Parker and Susan Ryan would go out to the cemetery and mark off an appropriate area for the Easter Egg Hunt.


Father Chandy discussed the “Brown Bag Event” his wife Simi and her colleagues will be hosting here at St. Andrew’s on April 6th.




16, 23, 30 – Diet, exercise, nutrition discussions with Fr. Chandy, 9:00 a.m.

12, 19, 26 – Pot Luck dinners

13, 20, 27 – Lenten services:  7 a.m. followed by breakfast; 12:10 p.m.

21 – EYC Lock-in this event was CANCELLED per Keith Adams

25 – Blood Drive


2, 9, 16  – Pot Luck dinners

6 – Brown Bag with a Pharmacist, 11:30 a.m.

6, 13 – Diet, exercise, nutrition discussions, 9:00 a.m.

3, 10, 17 – Lenten services:  7 a.m., followed by breakfast; 12:10 p.m.

11 – Graveyard clean-up with students from Burlington Twp. HS, 9:00 a.m.

13 – Invite a Friend Sunday Postponed until June 8th

16 – Tenebrae, 7:00 p.m.

17 – Maundy Thursday Combined dinner/service with St. Paul’s @ St. Andrew’s, 6:00 p.m.;

EYC Lock-in

18 – Good Friday services, 12:00 p.m.; 7:00 p.m.

19 – Lily set-up, 10:00 a.m.; Easter Vigil, 7:00 p.m.

25 -26 – Altar Guild set-up and party


Vacation Music Academy facility request was tabled to next month so VMA committee can come a do a presentation.


Father Chandy closed with prayer and adjourned the meeting at 10:12 p.m.
